AAA Presidential Elections 2024: Key Officer Job Descriptions

The election terms for the AAA’s current officers are expiring early this year in 2024 and new elections will be held in late March, with the nomination process to be announced by mid-February. To help you understand AAA’s governance model and key officer responsibilities, we’ve prepared this quick summary of the election process and role descriptions.

We will be voting for the three main officer roles:

  • AAA President
  • AAA Vice President (VP)
  • AAA Treasurer

Current AAA Officers

Three current AAA Officers will need to be reelected to give other active alumni a chance to get involved in running the Association and to make impact in the alumni community and AUBG’s future. Feel free to reach out to them for more info!

AAA Governance

The AUBG Alumni Association (AAA) is a fully stand-alone, non-profit, non-government organization (NGO) established in accordance with Bulgarian Law  in 1999 as the governing body of AUBG alumni worldwide. 

The association’s main role is in independently coordinating the activities of all alumni, in tight cooperation with other government and non-government organizations, the AUBG Development Office, the AUBG President and the AUBG Board of Trustees.

The AAA Board

The association is governed by the AUBG Alumni Association Board which is composed of a total of 12 members from various classes, backgrounds and countries, as follows:

  • 3 officers, which include the president, vice-president and treasurer
  • 9 directors-at-large

All board member positions are volunteer-based, with a flexible time commitment subject to the organization’s needs, rules and personal dedication to selected initiatives.

The AAA Elections Process

The board members undergo a nomination process led by a Nominating Committee, and are elected by simple majority, via online voting by the General Assembly. Their terms last three years. 

AAA Officers Job Descriptions

Among other responsibilities, the AAA President or the VP serve as an ex-officio member at the AUBG Board of Trustees, providing an ongoing report of the alumni activities and participating in key decisions regarding academic programs, student life and the university administration.

AUBG Alumni Association President

Employment Type: Volunteer

Reports To: AUBG Alumni Association Board

The President of the AUBG Alumni Association is a volunteer leadership role responsible for presiding over meetings, representing the association, and overseeing committees. Ensures adherence to the constitution, leads fundraising, and reports on activities. 

Key Responsibilities:

  • Meeting Leadership:
    • Chair General Assembly and AAA Board meetings, maintaining order and facilitating discussions.
  • Decision-Making:
    • Propose issues for membership voting and participate in decision-making.
  • Alumni Fund Oversight:
    • Lead the Alumni Fund committee, driving fundraising strategies.
  • Representation:
    • Serve as the official liaison to the AUBG Board of Trustees.
  • Committee Involvement:
    • Act as an ex-officio member in AUBG Board of Trustees committees.
    • Participate in committees planning association programs.
  • Financial Management:
    • Approve operational expenses within the budget.
  • Reporting:
    • Provide regular updates to the General Assembly on association activities.

Qualifications:

  • Strong commitment to the association’s mission.
  • Leadership experience in alumni or similar organizations preferred.
  • Excellent communication, organization, and collaboration skills.
  • Familiarity with the association’s constitution.
  • Availability for meetings and association events.

Time Commitment:

This is a volunteer position with a flexible time commitment, subject to association needs. The President should allocate sufficient time to fulfill responsibilities, attend meetings, and engage in association activities.

AUBG Alumni Association Vice President

Employment Type: Volunteer

Reports To: President

The Vice President of the AUBG Alumni Association serves as a critical support to the President, stepping in when necessary, and overseeing crucial association functions. Responsibilities include chairing the Nominating Committee, managing grassroots structures, and assisting the President in various delegated tasks.

Key Responsibilities:

  • Acting President:
    • Assume the role of President in their absence, presiding over meetings and official functions.
  • Nominating Committee:
    • Lead the Nominating Committee, responsible for identifying leadership candidates.
  • Grassroots Structures:
    • Oversee local chapters, class representatives, and special interest groups.
    • Promote involvement in these structures for new members.
  • Support to President:
    • Assist the President with delegated duties.

Qualifications:

  • Strong commitment to the association’s mission.
  • Familiarity with association governance.
  • Effective communication and collaboration skills.
  • Flexibility to step into the President’s role as needed.

Time Commitment:

This is a volunteer position with a flexible time commitment, primarily dependent on the President’s availability. The Vice President should be prepared to assume the President’s responsibilities when necessary and actively engage in committee work and grassroots structure support.

AUBG Alumni Association Treasurer

Employment Type: Volunteer Position

Reports To: AUBG Alumni Association Board of Directors

The Treasurer of the AUBG Alumni Association plays a crucial role in financial oversight and reporting. This volunteer position involves maintaining accurate financial records, tracking membership fees, presenting fiscal reports and budgets to the AAA Board of Directors, and chairing the Budgetary Committee.

Key Responsibilities:

  • Financial Recordkeeping:
    • Maintain complete and precise accounts of all association receipts and disbursements in compliance with relevant laws and the AAA constitution.
  • Membership Fee Tracking:
    • Monitor and record paid membership fees.
    • Track the general membership and associate/regular membership status.
  • Financial Reporting:
    • Present annual fiscal reports for the previous year to the AAA Board of Directors.
    • Present annual budgets for the upcoming year to the AAA Board for approval.
    • Provide access to these reports to the general membership of the Association.
  • Budgetary Committee:
    • Chair the Budgetary Committee, responsible for developing and reviewing the association’s budget.

Qualifications:

  • Strong commitment to the association’s mission and values.
  • Financial expertise or experience in a similar role is preferred.
  • Excellent recordkeeping and attention to detail.
  • Knowledge of financial laws and regulations.
  • Effective communication and presentation skills.
  • Ability to work collaboratively with the AAA Board and committee members.

Time Commitment:

This is a volunteer position with a variable time commitment, dependent on financial reporting and budgetary processes. The Treasurer should be prepared to allocate time as needed to fulfill responsibilities and meet reporting deadlines.
